A Quality Inspector's Polymer Checklist: What I Check Before Any Mosaic Order Ships

A practical six-step checklist for B2B buyers and specifiers of polymer adhesives, coatings, and decorative mosaic products. Includes CoA requirements, plasticizer checks, and FTC substantiation.

Before You Order: Is This Checklist for You?

If you specify or buy adhesives, coatings, or polymer-based products for industrial or construction work, this checklist is for you. I work as a quality and brand compliance manager at Mosaic. I review every delivery before it reaches customers—roughly 200+ unique items per year. In 2024, I rejected 4% of first deliveries for spec mismatches, not because the chemistry was bad, but because what was shipped didn't match what was promised. Most of those could have been caught earlier with a process like this.

This is not a textbook explanation. It's a working list, in order. There are six steps. Each one has a checkpoint. If you can't pass the checkpoint, don't place the order.

Step 1: Name the Substrate, the Environment, and the Expected Life

It sounds basic, but it's where most failures start. In Mosaic's general polymers decorative mosaic line, there are setting materials, grouts, sealers, and coatings. They are not interchangeable. A polymer that works on a porcelain tile can fail on glass mosaic or limestone, especially outdoors or in a wet area.

Get specific. What is the substrate? Is it indoors or outdoors? Is it continuously wet, intermittently wet, or dry? Does it see freeze-thaw, UV, chemicals, or foot traffic? Is there movement or vibration? What is the lifespan you need?

Checkpoint: Write one sentence before you select a product: 'This material will bond or coat [substrate], under [conditions], for [expected life].' If you can't write that sentence, stop and get help.

Step 2: Identify the Actual Polymer Family—Not Just the Word 'Polymer'

Here's the thing: 'polymer' is a category, not a product. Acrylic, polyurethane, epoxy, silicone, vinyl ester—these behave differently. A common search phrase is 'lipids are polymers.' Not exactly. Lipids are macromolecules, but they are not polymers in the strict material-science sense because they aren't made of repeating monomer units linked together in a chain. That distinction matters when you expect structural strength or adhesive behavior from something that simply doesn't have it.

At Mosaic, we ask every customer to know the base chemistry they need. The product name, the brand, and the package design are not enough.

And before anyone emails me about the other famous search term: 'polymer 80 glock 19' is not our product category. It's a useful example though. Polymer components in that world require precise formulation, dimensional tolerances, thermal and impact performance. The same discipline applies to a tile adhesive or a high-temperature coating. If you only compare prices, you'll get a product—just not necessarily the right engineering behavior.

Checkpoint: Can you name the base chemistry (epoxy, polyurethane, acrylic, silicone?) and what that means for your temperature, moisture, and flexibility requirements?

Step 3: Demand a Batch-Level Certificate of Analysis (CoA)

What I mean is not a generic datasheet. A datasheet describes the product family. A CoA describes the actual batch shipped. From the outside, a CoA looks like a formal quality document. The reality is that many CoAs are just reprints of the sales brochure if you don't ask for actual batch values.

In Q1 2024, a vendor sent us a coating sample with viscosity 30% below specification. The vendor said, 'It's within industry standard.' We rejected the batch. Our contract now says all polymer shipments must include measured batch properties, not 'typical values.' I went back and forth on holding the spec because we were behind schedule. In the end, the test panel showed uneven coverage, so holding the line was the right call.

Checkpoint: The CoA includes the batch number, test date, and actual measured values for viscosity, solids content, VOC, pot life, open time, and glass transition temperature if relevant. If a supplier can't provide that, that's a red flag.

Step 4: Verify Environmental Claims with Documentation

This is not about being difficult. After the FTC's advertising rules, the responsibility for a claim sits with the person making it. If you market your project as 'low VOC' or 'recyclable,' you need substantiation. Per FTC Green Guides (16 CFR Part 260), a product labeled 'recyclable' should be recyclable in areas where at least 60% of consumers have access to recycling facilities. That's not a marketing preference; it's a standard.

For Mosaic products, we provide documentation for VOC content, solids content, and other environmental properties. If a supplier says 'green' and can't show the paperwork, that's a deal-breaker.

Checkpoint: You have in writing the actual VOC content, bio-based content if claimed, and any recyclability statement. 'Green' and 'eco-friendly' are adjectives, not data.

Step 5: Know Why Plasticizers Are Added to Polymers—and When They Cause Trouble

This is the step most people ignore. So, why are plasticizers added to polymers? Because many unplasticized polymers are too stiff or brittle for real-world use. A plasticizer lowers the glass transition temperature, increases flexibility, and improves processing. In PVC, plasticizers turn rigid pipe into flexible seals. In adhesives and coatings, plasticizers improve flexibility and impact resistance.

But plasticizers can migrate. In decorative mosaic installations, a plasticizer that bleeds into soft stone can cause discoloration, poor adhesion, or a grout that never cures properly. If you're using a polymer product near sensitive substrates, ask whether the plasticizer is a low-migration type and whether the manufacturer has tested compatibility with the actual stone or backing.

We had a decorative polymer coating delaminate after six months because the plasticizer migrated into the polymer backing. The first article passed, but we didn't condition it with the actual backing. This is the kind of problem that becomes a $22,000 redo.

Checkpoint: You know what plasticizer is in the product, why it's there, and whether migration could affect your substrate over time.

Step 6: Verify Storage Conditions and Run a First Article Test

The specification is only as good as the supply chain. In 2022, a distributor stored a shipment at 45°C for two weeks in an unventilated warehouse. The viscosity changed enough to affect application. We didn't catch it until the contractor called about pinholes. The batch was rejected, and we added storage temperature requirements to every contract.

First article testing is not optional. Test with the actual batch, on the actual substrate, with the actual mixing and curing conditions. Not a leftover tile in the warehouse. Apply, cure, condition, and test. Then test adhesion. For coatings, also test appearance and hardness.

Even after approving a batch, I keep second-guessing. I did not relax on a recent job until the field pull-test came in above spec. That's normal. The checklist exists to make sure the second-guessing happens before the product ships, not after installation.

Checkpoint: You have a first article made with the actual batch and actual substrate, with documented cure conditions and an adhesion result. If it doesn't pass, don't proceed.

Notes and Common Mistakes

  • Don't buy polymer products from a mosaic store or anywhere else without the same paperwork. Location doesn't tell you chemistry.
  • Don't assume the most expensive option is the highest quality. People think expensive vendors are better. Actually, vendors who are consistent are worth more and can charge more. Price follows quality, not the other way around.
  • Don't rely on the word 'industrial' on a label. Ask for the polymer family, the CoA, the storage requirements, and the test report.
  • Don't skip the plasticizer compatibility check when the substrate is sensitive. It's the quiet failure mode.
What was best practice in 2020 may not be enough in 2025. Digital CoAs, faster FTIR testing, and better climate-controlled storage have changed how we verify polymer products. The fundamentals haven't changed: formulate to a spec, test against a standard, and verify every batch at least once before it goes in the field.

Sustainability references should identify the boundary, reporting period, and verification status before being reused in customer documents.
